Cancellation Policy

At Bloom Physio, we value your time and ours. To provide the best care for all clients, please note the following cancellation terms:

- Cancellations with less than 24 hours’ notice: The full session fee will be charged.

- Rebooking immediately: If you rebook your session straight away, a reduced fee of 50% of the session cost will apply for the late cancellation.

- No-shows (non-attendance without notice): The full session fee will be charged.

We appreciate your understanding — this policy allows us to offer appointments to other clients on our waiting list.

• Contract: to provide treatment and manage your bookings
• Consent: where you opt in for newsletters or marketing
• Legal obligation: to keep medical records and comply with HCPC/CSP requirements • Legitimate interest: to ensure the safe and effective running of our clinic

4. Data Storage and Security

• Records are stored securely in our practice management software (Cliniko), which is GDPR compliant.
• Payments are handled via Stripe, which uses industry-standard encryption.
• Paper records (if used) are kept securely and disposed of confidentially.

5. Sharing Your Information

• We will never sell or share your personal data. Your information may be shared only when:
• Required by law
• With other healthcare providers (with your consent)

• With third-party software providers (e.g., Cliniko, Stripe) who process data securely on our behalf

6. Data Retention

• Adult physiotherapy records are kept for a minimum of 8 years after the last appointment. • Records for children are kept until the child’s 25th birthday (or 26th if seen after their 17th birthday).
• After these periods, records will be securely destroyed.

7. Your Rights

• Access your personal data
• Request correction of inaccurate data
• Request deletion (where legally possible)
• Restrict or object to processing
• Withdraw consent for marketing at any time
• Lodge a complaint with the ICO if you are unhappy with how your data is handled
